1. Who we are
Reading & District Angling Association ("RDAA", "the Association", "we", "us") operates this website and is the data controller responsible for the personal information described in this policy.

We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.


2. Information we collect
Depending on how you interact with us, we may collect:
- Membership and permit information - full name, postal address, email address, telephone number, date of birth, membership category and number, photograph for membership identification, and any concessionary status (junior, senior, disabled) you claim.
- Emergency and welfare information - emergency contact details you supply, and any relevant medical or access information you choose to give us for coaching or organised events.
- Junior member information - for members under 18, we also collect the name and contact details of a parent or guardian.
- Water booking and match information - venue and swim bookings, match entries, catch returns and results.
- Volunteer and work party records - attendance, roles undertaken and any accident or incident reports.
- Enquiries and reports - the content of contact form submissions, pollution reports, lost and found reports, emails and correspondence.
- Payment information - records that a payment has been made, the amount and the reference. Card details are handled directly by our payment provider and are never stored by the Association.
- Website and device information - IP address, browser type, pages visited and referral source, collected via cookies and similar technologies (see section 9).
- Photographs and video - images taken at matches, working parties and club events, where used on our website, social media or in club publications.


3. Where we obtain information
We collect information directly from you, from a parent or guardian in the case of junior members, or from a club officer recording your membership or booking on your behalf. We do not purchase personal data from third parties.


4. Why we use your information, and our lawful bases
To perform our contract with you as a member
- Processing membership applications and renewals
- Issuing permits, membership cards and match tickets
- Administering water bookings and match entries
- Sending service messages about your membership, venue closures, access changes and safety notices

Where we have a legitimate interest
- Running and improving the website and its content
- Maintaining club records, match results and honours
- Investigating rule breaches, poaching, anti-social behaviour and disputes
- Reporting and following up pollution and environmental incidents, including sharing information with the Environment Agency, Fish Legal or the Angling Trust
- Preventing fraudulent membership or permit use
- Protecting the health and safety of members and visitors at club waters and events
Lawful basis: legitimate interests. We have considered your rights and freedoms and consider these uses proportionate to the running of a members' angling association.


Where you have given consent
- Sending club newsletters and non-essential updates
- Publishing photographs identifying you or your child on our website or social media
- Recording any voluntary health or accessibility information


Lawful basis: consent. You may withdraw consent at any time without affecting the lawfulness of prior processing.


Where we have a legal obligation
- Retaining financial records for accounting and audit
- Responding to lawful requests from the police, the Environment Agency or other authorities
- Meeting safeguarding obligations in relation to junior members

Please note that you cannot opt out of essential communications relating to your membership, such as renewal notices, venue closures or safety information.


5. Junior members and children
We collect and hold personal data about members under 18 in order to administer junior memberships and coaching. Where the member is under 13, we rely on the consent of a parent or guardian for any processing that requires consent, including the use of photographs.


Parents and guardians may withdraw consent, request access to their child's information, or ask us to remove images at any time by contacting us at info@rdaa.co.uk.


6. Who we share your information with
We do not sell, rent or trade your personal information. We share it only with:


- Our website and hosting provider, Wix.com Ltd, which hosts this site and its forms and databases.
- Our payment provider, [PAYMENT PROVIDER], which processes membership and permit payments.
- Our email provider, [EMAIL PROVIDER], used for correspondence and newsletters.
- Our membership system provider, [MEMBERSHIP APP PROVIDER], which operates the club membership application and associated records.
- Analytics providers, including Google, where you have consented to analytics cookies.
- Bailiffs and club officers, who may access membership records in order to verify permits at the waterside.
- Regulators and authorities, including the Environment Agency and the Information Commissioner's Office, where required or where we are reporting an incident.
- Fish Legal and the Angling Trust, where relevant to the protection of our fisheries or to a legal claim.
All providers acting on our behalf are bound by written agreements requiring them to process your data only on our instructions and to keep it secure.
The RDAA clothing shop is operated by a third party under its own privacy policy. Purchases made there are not processed by the Association.

 

7. International transfers
Some of our providers, including Wix and Google, process data outside the United Kingdom. Where this occurs, transfers are protected by UK adequacy regulations or by the International Data Transfer Agreement or UK Addendum to the EU Standard Contractual Clauses, together with appropriate additional safeguards.

 

8. How long we keep your information
We keep different types of information for different periods:
- Current membership records - for the duration of your membership.
- Lapsed membership records - 3 years from the end of the last membership year.
- Junior member and parental consent records - until the member turns 18, then a further 3 years.
- Tuition, coaching and event registration details - 1 year from the date of submission.
- Payment and financial records - 6 years from the end of the financial year.
- Water bookings and match entries - 2 years.
- Enquiries and general correspondence - 2 years from last contact.
- Marketing consents and preferences - until consent is withdrawn, plus 2 years as evidence of that consent.
- Accident, incident and pollution reports - 6 years, or longer where a claim or investigation is live.
- Photographs used in club publicity - until consent is withdrawn or the image is no longer in use.
We delete or anonymise information at the end of these periods unless we are required to retain it for longer by law.

 

9. Cookies and similar technologies
Cookies are small text files stored on your device when you visit a website. We use:
- Essential cookies, required for the site to function, including page navigation, form submission and secure areas. These cannot be disabled.
- Functional cookies, which remember your preferences so you do not have to re-enter information.
- Analytics cookies, which tell us how the site is used so we can improve it.
- Marketing cookies, set by social media platforms where content is embedded.
Non-essential cookies are set only where you give consent through our cookie banner. You can change or withdraw your choice at any time using the cookie settings link in the site footer, or by clearing cookies in your browser.

10. How we protect your information
Access to membership and personal data is restricted to club officers and volunteers who need it for their role. Our website and membership systems are protected by access controls and encryption in transit. While we take reasonable measures to protect your information, no transmission over the internet can be guaranteed to be completely secure.

 

11. Your rights
Under the UK GDPR you have the right to:
- Be informed about how we use your data
- Access the personal data we hold about you
- Have inaccurate or incomplete data corrected
- Request erasure of your data where there is no continuing reason for us to hold it
- Restrict how we process your data
- Object to processing carried out on the basis of legitimate interests
- Object to direct marketing at any time
- Request transfer of your data to another organisation, where technically feasible
- Withdraw consent at any time where we rely on it
To exercise any of these rights, contact info@rdaa.co.uk. We will respond within one month. We may need to verify your identity before acting on a request.

 

12. Complaints
If you are unhappy with how we have handled your personal data, please contact us first at info@rdaa.co.uk so we can try to resolve it. You also have the right to complain to the Information Commissioner's Office at ico.org.uk, by telephone on 0303 123 1113, or in writing to Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF.

 

13. Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last revised. Material changes affecting members will be notified by email or on the website.
